INTERNATIONAL LUTOSŁAWSKI YOUTH ORCHESTRA 2026 – TERMS AND CONDITIONS
Introduction
1. The Terms and Conditions define the conditions of recruitment and participation in the project "International Lutosławski Youth Orchestra in Szczecin – fourteenth edition", which aims to create an international youth orchestra (hereinafter referred to as the "Orchestra") participating in a number of workshops and lectures with recognized European musicians and speakers. The final of the Project will consist of two joint concerts of the Orchestra: one at the headquarters of the Project Organiser and the second at a venue in Poland or abroad designated by the Organiser.
2. The description of the Project, along with the schedule and program, is available at
ilyo.pl.
3. The Organiser of the Project is the Mieczysław Karłowicz Philharmonic in Szczecin, based at 48 Małopolska Street, Szczecin (hereinafter referred to as the "Organiser").
4. Musicians from all countries (hereinafter referred to as "Musicians") may participate in the Project.
5. After a positive decision on the recruitment results, the Musicians become Project Participants.
6. Project Participants are also members of the Orchestra.
7. These Terms and Conditions cover all activities during the Project planned for 2026.
I. General Rules
1. Only Musicians between 18-30 years of age (born between September 7, 1996 and August 30, 2008) who use English in a communicative way may join the Project.
2. The Musicians are obliged to read and comply with the Terms and Conditions and all possible changes introduced by the Organiser and published on the Orchestra’s website.
3. The Musicians are obliged to comply with the dates stated by the Organiser.
4. The Organiser provides accommodation between August 30, 2026 and September 7, 2026, and meals between August 31, 2026 and September 6, 2026 for Project Participants (breakfasts and lunches).
5. The Organiser provides health and life insurance for the Project Participants.
6. The Organiser is not responsible for the health condition of the participants.
7. The Organiser does not cover travel costs to the Project location incurred by the Participants nor the costs of insurance of instruments.
II. Recruitment for the Project
1. In order to participate in the Project, Musicians must fill in the application form available at
ilyo.pl from March 2, 2026 to April 30, 2026.
2. In the Application Form, Musicians must provide links to their own video recordings of the required pieces in accordance with paragraph II.4 of these Terms and Conditions.
3. Filling out the Recruitment Form is possible from the beginning of recruitment (i.e. March 2, 2026) until April 30, 2026.
4. Musicians must include two (2) video recordings in their Recruitment Form:
a) a recording of self-performed excerpts of the mandatory pieces indicated by the Organiser;
b) a recording of self-performed excerpts of the orchestral parts indicated by the Organiser.
Specific excerpts will be made available on the Project website starting from the first day of recruitment (i.e. March 2, 2026).
5. The recording should include a presentation from one shot without editing. The face and silhouette of the candidate must be visible in the recording. The pieces may be performed with or without the use of scores, with or without accompaniment. The video recording must be submitted as a YouTube link (non-public video) in accordance with YouTube regulations or via another similar platform.
6. The video recordings submitted by the Musician are visible only to the Organiser and the Lecturers.
7. The Recruitment Forms along with the submitted links to recordings will be assessed by the Lecturers (hereinafter referred to as the "Jury").
8. The list of persons qualified for the Orchestra along with the reserve list will be announced by the Jury by May 15, 2026.
9. Project Participants will be notified about the results by email.
10. The Jury's decision to select participants of the Orchestra is final and indisputable. There is no appeal against this decision.
11. Participants are required to confirm their participation in the Project within 7 days of receiving the recruitment results. The confirmation must be sent to:

12. Musicians who are not selected for the Orchestra will be placed on the reserve list. The order on the reserve list is determined by the Jury.
13. Participation in the Project requires signing the Declaration, which constitutes an Annex to these Terms and Conditions (the Declaration is included in the registration form).
14. In the case of no confirmation of participation (in accordance with point II.11) or resignation by a Participant, Musicians from the reserve list will be qualified for the Orchestra.
15. Qualified Participants are obliged to thoroughly prepare for the Project and present the repertoire with appropriate quality, diligence and a high artistic level.
III. Final Provisions
1. These Terms and Conditions come into force on the day of their announcement, i.e. March 2, 2026.
2. The Organiser reserves the right to decide on disputes and matters not covered by these Terms and Conditions.
3. The Organiser reserves the right to supplement these Terms and Conditions with detailed provisions concerning particular stages of the Project.
4. In the case of failure to fulfill obligations, the Organiser reserves the right to remove the Musician from the Project.
5. These Terms and Conditions are available at the Organiser’s headquarters and on the website
ilyo.pl.
6. The Organiser is the administrator of personal data.
7. Personal data will be processed by the Organiser.
8. Joining the Project and providing personal data in the application form is equivalent to consenting to the processing of personal data in connection with the implementation of the Project by or on behalf of the Organiser, as well as consenting to the publication of such data in Project materials. Providing personal data is voluntary; however, failure to provide it makes participation in the Project impossible.
9. The Organiser has the right to entrust the personal data of Musicians participating in the Project to entities cooperating in the implementation of the Project for the purpose of carrying out the Project, selecting Participants and sending emails related to the Project.
10. Personal data will be processed for the time necessary to carry out the Project and after its completion for the time required to fulfill the Organiser’s legal obligations and until the expiry of the period during which claims related to the Project may be brought against the Organiser. Personal data will also be processed during subsequent editions of the Project for communication and information purposes.
11. Participants have the right to access their personal data, rectify it, delete or limit processing, object to processing, and transfer data. Statements in this regard should be submitted to:
sekretariat@filharmonia.szczecin.pl. Consent to the processing of personal data may be withdrawn at any time; however, this does not affect the lawfulness of processing carried out before withdrawal.
12. The Project Participant agrees to the free-of-charge recording, multiple use, processing and duplication of photographs and video materials containing their image via any medium for promotional and archival purposes of the Mieczysław Karłowicz Philharmonic in Szczecin without the need for separate approval each time.
13. Sending an application to the Project is equivalent to accepting these Terms and Conditions and consenting to the processing of personal data by the Mieczysław Karłowicz Philharmonic in Szczecin solely for the purposes of the Project in accordance with the Personal Data Protection Act of May 10, 2018.

Declaration
I declare that I have read and understood the Terms and Conditions of recruitment and participation in the "International Lutosławski Youth Orchestra in Szczecin 2026 – fourteenth edition" Project and that I accept them.
I consent to the processing of my personal data for the purpose of the recruitment process and organisation of the International Lutosławski Youth Orchestra Project, organised by the Mieczysław Karłowicz Philharmonic in Szczecin. At the same time, I declare that I have read and understood my right to access my personal data and correct it, withdraw my consent to its processing at any time, and that providing this data was voluntary.
