Terms and Conditions of the recruitment process and participation in "INTERNATIONAL LUTOSŁAWSKI YOUTH ORCHESTRA - sixth edition" Project

Introduction

• Hereby are defined the Terms and Conditions of recruitment and participation in Project "International Lutoslawski Youth Orchestra – sixth edition", hereinafter referred to as "Project"), which aims to establish an international youth orchestra (hereinafter referred to as "Orchestra"), participating in several workshops, lectures by renowned European Musicians and speakers. The finale of the Project shall be the joint concerts of the Orchestra at the headquarters of the Project Organizer and in Neubrandenburg (Germany).

• The project is organised by the Mieczysław Karłowicz Philharmonic in Szczecin, at Małopolska 48 street (hereinafter referred to as the Organizer)
• The Participants of the Project may be Musicians from Europe (hereinafter referred to as "Musicians") .
• On announcement of the positive recruitment results, Musicians become Project Participants.
• Project's Participants are members of the Orchestra at the same time.
• This set of Terms and Conditions covers the activities of the Project planned for the year 2018.

I. General Terms and Conditions

• Project Participants must be Musicians only between 18 and 30 years of age (born between 1st September 1988 and 18th June 2000) with communicative English language skills.
• Musicians are required to read and follow the Terms and Conditions and any possible changes introduced by the Organizer stated on the website of the Orchestra.
• Musicians are required to comply with the dates announced by the Organizer.
• The Organizer provides accommodation for the Project Participants for the period between 26th August and 2nd September 2018 and meals between 27th August and 1st September 2018.
• The Organizer provides the health and life insurance for the Project Participants.
• The Organizer shall not take responsibility for the health of Participants.
• Organizer does not cover Participant's travel costs to the venue of the Project or instruments' insurance costs.

II. Recruitment for the Project

• In order to participate in the Project, please register on the website ilyo.filharmonia.szczecin.pl between 18th June 2018 and 20th July 2018.
• The registration form allows Musicians to log on and fill out the Recruitment Form, where one is obliged to upload links to videos with one's own performance of works required, in accordance with the Terms and Conditions.
• Filling the recruitment form after logging in is possible between 18th June 2018 – 20th July 2018.
• In the Recruitment Form, Musicians must disclose 2 video recordings, including:
• one video of individually performed fragments of the Project's programme: Fryderyk Chopin Piano Concerto No.2 in F minor, Op.21 or Witold Lutosławski Symphony no. 4 or Zoltán Kodály “Dances of Galánta”. The specific fragments for individual instruments have been made available on the Project website till 22nd June 2018.
• the second recording (for individual instruments) must be in accordance with the following conditions:
• violin / viola / cello – a fragment of any solo sonata / partita / suite by Johann Sebastian Bach, selected by the Musician (recording duration from 3 to 6 minutes);
• double bass – part of any classical concert selected by the Musician (recording duration from 3 to 6 minutes);
• brass / woodwind / percussion – any composition (or fragment thereof) selected by Musician (recording duration from 3 to 6 minutes);
• Recordings should include presentation from one angle, without film editing. There must be face and silhouette of the candidate visible on video recordings. Pieces can be played from the score. The video recording must be sent as a youtube link (non-public record) in accordance with YouTube policy.
• The videos posted by an applicant are visible only and exclusively to the Organizer, the lecturers, and the Orchestra conductor.
• The Recruitment Forms with the qualified links to the recordings shall be evaluated by lecturers, inspector and the Orchestra conductor (hereinafter referred to as the "Jury").
• List of persons qualified for the Orchestra shall be announced the Project website within two weeks after the recruitment process finishes.
• Project Participants shall be informed of the results by e-mail.
• The Jury's decision on the selection of Orchestra Participants is final and unquestionable. The Jury's decision cannot be appealed.
• Participants are required to confirm their willingness to participate in the Project within 7 days of receipt of the recruitment results. Confirmation must be sent to 2 e-mails: a.adamowicz@filharmonia.szczecin.pl matylda.graczewska@filharmonia.szczecin.pl
• Musicians who have not been selected for the Orchestra shall be placed on a reserve list. The order on the reserve list shall be determined by the Jury.
• To take part in the project it is essential to sign the Declaration enclosed to the Registration Form.
• In the absence of confirmation of willingness to participate in the Project (in accordance with section II pt.11) or resignation of a Project Participant, the Orchestra shall qualify Musicians from the reserve list.

III. Final provisions

• Terms and Conditions come into force on the day of publication, ie. 18th June 2018.
• The Organizer reserves the right to decide in matters in dispute and not stated in Terms and Conditions.
• The Organizer reserves the right to supplement the Terms and Conditions with detailed provisions concerning the stages of the Project.
• In case of Participant's failure to fulfill Project-related commitments, the Organizer reserves the right to remove a Musician from the Project.
• This Terms and Conditions is available in the Organiser's headquarters and on the website: ilyo.filharmonia.szczecin.pl
• The Organizer is personal data's Administrator.
• Personal data will be processed by the Organizer.
• Taking part in the project and filling the registration form equal agreeing to personal data being processed by the Organizer in connection with the Project and agreeing to personal data being published in Project's marketing materials. Sharing personal data is voluntary, however not sharing unables participation in the Project.
• The Organizer reserves the right to exchange personal data of the Musicians for processing purposes with collaborating parties to send e-mails with information about the project.
• Personal data will be processed throughout the whole time the Project is taking place, and after its finish until all the legal formalities concerning the Project are fulfilled and until the time when any claims concerning the Project's organisation might be issued against the Organizer. Personal data of the Musicians will be processed throughout the following editions of the Project for communication and next editions' notification purposes.
• The musicians have the right to access their personal data, alter, delete or limit their processing, or to object to their processing and to transfer their data. Declaration stating the aforementioned rights shall be sent to: sekretariat@filharmonia.szczecin.pl The personal data processing agreement might be withdrawn at any time, however it does not influence the right to data processing which took place before the withdrawal.
• The Musician agrees to the free and repeated right to use, reproduce and publish photographs or video of them, including their image for editorial, archive, advertising or any other purpose and in any manner and medium by Mieczysław Karłowicz Philharmonic in Szczecin.
• Sending the registration form is equivalent to accepting Terms and Conditions and to personal data being processed in accordance with the Law on personal data protection dated on 29th August 1997 by Mieczyslaw Karlowicz Philharmonic in Szczecin.
• The Terms and Conditions have been prepared in two language versions, while in case of dispute or divergence, the Polish-language one shall be the binding version.
